We are looking for an experienced and enthusiastic Events Production Assistant to join our Events team at Enable! .

Reports to: Events Production Manager

Based: Battersea Park

Salary: £30,600 per year

Contract: Permanent, Full Time

Work Arrangement: 40 hours per week

DBS: Basic

  

Role Overview: 

 

  • The Events Team are a busy, creative, tight knit group of vibrant professionals who are looking for someone to join the team who pride themselves in 5 start customer service and going the extra mile for their clients. In the Events Team we celebrate creative problem solving, autonomy and integrity in our approach to work.

 

  • Reporting to the Senior Events Production Manager, the Events Production Assistant will be responsible for supporting a range of productions across the Enable events programme. These include in-house productions ranging from outdoor music concerts to Battersea Park Fireworks to Wandsworth Civic Suite Pantomime. Enable also delivers family festivals and events in our green spaces across the summer season as well as a varied roster of community and stakeholder events through the year. The Production Assistant also holds responsibility for ensuring that Enable stores are maintained in an orderly state and that Enable-owned and hired equipment is kept in a suitable condition for events. 

 

 

Main Duties/Responsibilities:  

  • Contributing to event planning meetings and providing clear updates about task progression
  • Assisting with research for events of various scales and formats across the programme
  • Collating information and briefing documents for staff, stakeholders, suppliers, performers and attendees
  • Communicating with the Events team and wider Enable teams about event requirements and potential impacts on other events or services
  • Checking the stores weekly to ensure that they are well organised and that equipment that has been used for events is returned correctly and promptly
  • Researching suppliers for event delivery and negotiating details with them
  • Supervising the safe and efficient arrival, load-in and de-rig of vehicles and suppliers on site 
  • Reviewing supplier documentation and safety paperwork and escalating any queries to the production team
  • Inputting accurate forecast, quote and actuals information in budget spreadsheets
  • Raising purchase orders and invoices for production events
  • Reporting any payment issues to Event Managers and/or Finance team
  • Assisting with the physical set up and dismantling of events and the management of contractors and suppliers
  • Acting as the appointed site manager on occasion; supervising event assistants and communicating any feedback to the Event Operations Manager
  • As required, acting as a personal licence holder at events under the relevant venue’s premises or event licence
  • Carrying out other event administration duties as directed by senior management

 

Skills and Experience:  

 

  • Experience of supporting in the delivery of small to medium scale outdoor and indoor events and/or live performances
  • Interest in event operations and working on site with a range of suppliers and contractors
  • Excellent attention to detail and organisational skills, particularly when working simultaneously across multiple projects
  • Strong standards of customer service and experience in addressing visitor and stakeholder queries
  • Strong communication skills; ability to communicate effectively in writing, by telephone, or face to face
  • A supportive and engaged team player
  • Excellent time management skills with the ability to work independently towards deadlines 
  • Hands on and proactive attitude both on-site and in event planning stages
  • Proficiency with Microsoft Office applications and experience with Sage or other accounting software  
  • Ability to work weekends, early mornings and late nights is essential
