Buy back time for the leadership team (CEO, CTO, CCO). This enables management to focus on the key levers to further scale the business.
Introduction
In the last few years, clevergig has grown from a small startup into a fast growing business with 22 employees (and counting) and thousands of users in our product. Your main objective is to free up time for the leadership team, by taking care of important supportive activities.
This role goes beyond office management and secretarial tasks, although that is an important element. You will support the leadership team in executing projects. Examples of tasks and projects are listed below.
Office management and secretarial tasks
- Manage the meeting rhythm of clevergig: weekly, monthly, quarterly, annual
- Manage the calendar of the leadership team
- Transcribe / summarize recorded meetings into minutes or action points
Examples of projects
- Recruit staff: create, post and boost vacancies, initial selection and interview
- Onboard staff: contracts, week 1 general onboarding, ensuring soft landing
- Organize company swag and office supplies
- Organize the annual company retreat and other events
- Research: gather and analyze data for projects
- Improve and document HR processes
- Help build a network of SaaS companies to learn from each other
- Increase visibility of Leadership team in local PR/Media
How you will spend your time
- 30% on secretarial tasks: meetings, calendar, inbox
- 70% on projects

Your profile and experience
- You have at least 2 years of relevant work experience as an Executive Assistant, Management Assistant, Personal Assistant or Office Manager
- You are service-oriented and you can empathize with others. Experience in hospitality, aviation, customer service and recruitment is a plus
- During (time)pressure you keep your head cool and you continue to work in a structured way
- You have experience with at least Gmail and related apps
- Proficiency in English, Dutch or Ukrainian/Russian is a bonus
