Job Summary:

We are seeking a friendly, professional, and organized Front Desk Representative to be the first point of contact for our organization. The ideal candidate will have excellent communication skills, a strong customer service orientation, and the ability to handle a variety of administrative tasks efficiently. As a Front Desk Representative, you will be responsible for greeting visitors, managing phone calls, coordinating appointments, and providing administrative support to various departments.

Key Responsibilities:

 

Manage Phone Calls: Answer, screen, and forward incoming phone calls while providing basic information when needed.

Schedule and Manage Appointments: Coordinate appointments, manage calendars, and ensure proper follow-up.

Handle Correspondence: Receive, sort, and distribute mail and packages. Prepare outgoing mail and courier shipments as needed.

Maintain Front Desk Area: Keep the reception area tidy and presentable with all necessary materials (pens, forms, brochures).

Security: Ensure the security of the premises by monitoring visitor logbooks, issuing visitor badges, and managing access control.

Customer Service: Provide general information about the organization and its services, respond to inquiries, and handle complaints in a courteous and efficient manner.

Record Keeping: Maintain accurate and up-to-date records of visitor interactions, phone logs, and appointment schedules.

Support Events: Assist in the planning and coordination of on-site events and meetings.

Qualifications:

  • High school diploma or equivalent. Additional certification in office management is a plus.
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficient in MS Office (Word, Excel, Outlook)
  • Familiarity with office equipment (e.g., printers, fax machines)
  • Ability to handle stressful situations calmly and efficiently
