Community Venues Manager
Reports to: Senior Community Venues Manager
Based: Battersea
Salary: £35,000 - £39,000
Contract: Full Time
Role Overview
Working within the Events Team and reporting to the Senior Community Venues and Events Manager, the Community Venues Manager will be embedded into the local community around our community venues and spaces. They will develop plans for engaging with all stakeholder groups, the local community, and the public, and will act as the primary point of contact and the professional face projects within these areas. Further, the Community Venues Manager will be responsible for overseeing bookings of the regular & event hires of multiple community venues across Wandsworth and the day to day management of these venues that include but are not limited to the Open Door Community Centre, Wilditch Community Centre, Furzedown Pavilion and Cromwell House.
The Events Team are a very busy, creative, tight knit group of vibrant professionals who are looking for someone to join the team who pride themselves on being the "yes" people and going the extra mile for their clients. We are looking for someone who has previous community halls/ leisure centre experience and is passionate about supporting clients and the Wandsworth community. Someone who is patient and can take the time to ensure that our communities’ needs are heard. Someone who is very hands on, takes pride in our venues and gets stuck in whenever necessary. Detail orientated, highly organised and great at thinking on their feet.
Responsible for:
Community Engagement
- Building and implementing a community strategy across our spaces
- Removing barriers to using our spaces for people across all communities
- Building trust between our communities and Enable
- Establishing and building working relationships with partners
- Securing impactful new partnerships
- Compiling data on community needs across our spaces
Sales/ bookings
- Providing information about the availability of venues, quotes, and carrying out site visits
- Developing and creating new event business and considering new initiatives to complement existing income streams from private events & regular hirers
- Updating Priava with all enquires
- Keeping up with income targets set by the Senior Community Venues and Events Manager, and Head of Events
Operations
- Ensuring all event paperwork per hire is complete and compliant with the requirements of the Event Policy and Hire Agreement
- Contacting clients to agree their furniture/equipment requirements and advising them of the layout appropriate to the function booked
- Ensuring all staff are fully briefed on the client’s requirements
- Attending events to provide onsite support and ensuring successful operational delivery
- Liaising closely with the Events Team and other park-based services to ensure that the wider Events/activity programme is coordinated properly
- Reporting any venue maintenance requests
- Dealing with relevant queries and complaints raised by clients, members of the public and suppliers or contractors. Updating the complaints and compliments log, and when necessary, escalating complaints to the Senior Community Venues and Events Manager or Head of Events
- Ensuring that all Health and Safety procedures and standards are maintained to ensure safe working practices of all staff, clients, public and contractors in the working environment, in accordance with Enable Leisure & Culture’s policies.
Admin and Finance
- Updating Priava with venue bookings and budget with all recorded income and expenditure
- Creating client invoices and liaising directly with the Finance Team as required. Following up on invoices to ensure that all monies owing are paid
- Achieving targeted income through the careful selection of bookings whilst balancing the requirements of public use venues
- Carrying out other duties as directed by the Senior Community Venues and Events Manager, and Head of Events
Team Management
- Line management of Event Coordinator
Skills and experience
- Proven and demonstrable experience in event bookings and venue hire
- Experience in community engagement
- Previous experience in managing public-use or community venues
- Strong drive to work with community groups
- Proficiency using a range of office software, including outlook, excel, booking software and databases
- Excellent written skills with a high level of confidence speaking to members of the public, other staff, clients and senior management
- Strong organisational skills, with the ability to effectively manage multiple tasks/projects against tight deadlines
- Proactive approach and pride yourself on going the extra mile to create the best customer experience as possible
- Ability to work autonomously under the direction from senior team members
- Confident driver with a full clean driving licence
- Flexibility to work weekends, early mornings and late nights as required
