Events Coordinator
Reports to: Community Venues Manager
Based: Wandsworth
Salary: From £30,000 to £34,000 per year
Contract: Permanent, Full Time

Role Overview
- Reporting to the Community Venues Manager, the Events Coordinator will assist with and support the delivery and operations of all community venues events including weddings, wakes and community events and any other events produced by the Events Team as a whole across Wandsworth, ensuring that each event runs smoothly.
- This role will include early mornings and late nights, as well as weekend work.
- The Events Coordinator will also be responsible for ensuring that health and safety procedures are adhered to when on site and will be tasked with managing clients from initial enquiry to onsite as they rig and derig their equipment for the day or delegate this work to event assistants.

Job Purpose
- Working closely with the event enquiries team to provide information about the availability of venues, quotes, and carrying out site visits
- Updating Priava with all enquires.
- Keeping up with income targets set by the Community Venues Manager, and Deputy Head of Events and Head of Events.
- Ensuring clients are invoiced and contracts and all relevant health & safety documentation are reviewed and logged.
- Overseeing the on the day set up and break down of events and any other events as required by the Events Team
- Onsite delivery of events to include but not limited to customer service, organising suppliers, health and safety and guest management.
- Supporting the events team to deliver their events across Wandsworth.
- Having comprehensive knowledge of the venues including any restrictions, rules or limitations and are able to communicate these to clients, guests and suppliers.
- Liaising with suppliers including availability checks, circulating briefings and schedules and general information enquiries
- Assisting the appointed site manager on events and assisting with the physical set up and dismantling of events, including liaising with contractors and suppliers and the distribution and return of events equipment / stores and vehicles as required
- Keeping all storage area tidy, ensuring all equipment is returned safety and cleaned after use.
- Ensuring all event paperwork per hire is complete and compliant with the requirements of the Event Policy and Hire Agreement
- Dealing with relevant queries and complaints raised by clients, members of the public and suppliers or contractors. Updating the complaints and compliments log, and when necessary, escalating complaints to the Community Venues Manager.
- Completing bi-annual inventory checks of equipment, furniture, fixtures and fittings in all buildings
- Supporting the Events Production team on the production and delivery of all other events including but not limited to Remembrance Day, Battersea Park Fireworks and Christmas Pantomime
- Assisting on site managing events including build and breaks, overseeing contractors, suppliers and traffic and plant schedules, assisting with the physical set up and dismantling of events and the distribution and return of events equipment and vehicles as required
- Onsite staffing of events to include but not limited to customer service, bar work, ticket or merchandise sales, ticket checking, escorting suppliers/traders/artists, set up of production offices/green room and hanging signage
- Supporting the wider team with keeping the event stores and depot tidy, ensuring all equipment is returned safely and cleaned after use, and managing equipment inventories.
- Attending all event production and planning meetings and Safety Advisory Group meetings
- Updating Priava with venue bookings and budget with all recorded income and expenditure.
- Creating client invoices and liaising directly with the Finance Team as required.
- Along with the Community Venues Manager, achieving targeted income through the careful selection of bookings whilst balancing the requirements of public use venues
- Carrying out other duties as directed by the Community Events Manger, Senior Community Venues and Events Manager, and Head of Events.
- Proven experience of working on events
- Managing multiple clients at the same time
- Confidence and patience in advising first time event organisers
- Confidence to work independently and take charge of any situations that may arise
- Patience and ability to negotiate professionally with client's and suppliers
- Competence using a range of office software, including Priava, outlook, excel and databases
- Excellent written skills and administration skills with a high level of confidence speaking to members of the public, other staff, clients and senior management.
- Ability to communicate effectively and professionally face to face with senior management, other staff, clients and members of the public.
- Ability to work under pressure and meet deadlines effectively.
- Ability to work autonomously under the direction from senior team members.
- Proactive approach and pride yourself on going the extra mile to create the best customer experience as possible.
- Competence using a range of office software, including Priava, outlook, excel and databases.
- Hold a full manual UK driving licence.
- Will be working weekends, early mornings and late nights as required on a rota basis.
