General Overview
Reporting to the Wedding & Functions Manager, the Events Operations Coordinator will be responsible for the end-to-end event management of weddings and private events taking place in our venues across Wandsworth, including but not limited to the Pump House Gallery, Bandstand, and Bowling Green in Battersea Park, and Wandsworth Civic Suite.
The role will be centered around the operations of our wedding spaces ensuring that health and safety procedures are adhered to when on site. You will also support with selling our wedding spaces and managing enquiries.
The Events Team are a very busy, creative, tight knit group of vibrant professionals who are looking for someone to join the team who pride themselves on being the "yes" people and going the extra mile for their clients. We are looking for someone who has previous wedding and venue management experience and is passionate about supporting clients to make sure their event runs smoothly. Someone who is very hands on, willing to set up venues and get stuck in whenever necessary. Detail orientated, highly organised and great at thinking on their feet.
Responsible for:
Sales
Providing information about the availability of venues, quotes, and supporting on carrying out site visits
Updating Priava with enquiries
Supporting the Wedding and Functions Manager to implement the sales strategy
Keeping up with income targets set by the Head of Events
Operations
Manage the delivery of events
Ensure the highest standards of service are established, maintained, and improved
Develop and maintain strong working relationships with the events team and other key partners at the venue to ensure we are able to successfully execute all events, and that the company's long-term interests are maintained
Ensuring all event paperwork is complete and compliant with the requirements of the Event Policy
Requesting casual staff to assist onsite and making sure they are fully briefed on the client’s requirements
Attending events to provide onsite support and ensuring successful operational delivery
Liaising closely with the wider Events Team and other park-based services to ensure that the wider Events/activity programme is coordinated properly
Reporting any venue maintenance requests
Ensuring all venues are kept to a high standard
Manage and undertake projects as required by the Senior Community and Events Manager and or any other senior members of the team in carrying out projects, research or initiatives as requested which are broadly in line with your key responsibilities.
Event Production
Supporting the Head of Events and Events Team with the delivery of events produced by Enable
Assisting with the physical set up and dismantling of events, including the management of contractors, suppliers, vehicles, and stores, and the distribution and return of events equipment as required
Admin and Finance
Updating Priava with venue bookings and the budget with all recorded income
Creating client invoices and liaising directly with the Finance Team as required. Following up on invoices to ensure that all monies owing are settled
Seeking quotes for goods and services in line with Enable’s Procurement Code, and raising purchase orders as required
Achieving targeted income through the careful selection of bookings whilst balancing the requirements of public use venues
Carrying out other duties as directed by the Senior Community Events Manager
Working Days
Due to the operational nature of the role, working days will involve weekends
The working pattern will regularly involve antisocial hours, evenings and long shifts.

Skills and experience
Previous wedding and venue management experience with demonstrable experience of end-to-end events management planning
Experience in budget management
Competence using a range of office software, including outlook, excel and databases
Confidence to work independently and take charge of any situations that may arise
Patience and ability to negotiate professionally with suppliers
Proactive approach and pride yourself on going the extra mile to create the best customer experience as possible
Excellent written skills with a high level of confidence speaking to members of the public, other staff, clients and senior management
Ability to communicate effectively and professionally face to face with senior management, other staff, clients and members of the public
Ability to work under pressure and meet deadlines effectively
Ability to work autonomously under the direction from senior team members
Hold a full clean manual UK driving license
