A leading technology-shared services company based in Austin, Texas, has retained our firm to find at talented COO, a person who will be a key addition to their executive team. We are working directly with leadership on this effort. Our client is a mid-sized shared services company that operates as an in-sourced service provider for several commonly owned operating companies, all in the datacenter, Networking, IT Security, SaaS space.
In this COO role, you will effectively manage the “back of house” functions for various operating companies. You will view yourself as leading a service organization, while being able to effectively lead the departments and teams that you manage. You will have 4 Director Level reports which currently lead the Accounting, Human Resources, Purchasing and Information Technology teams. You will act as the single point of contact and business partner to the CEOs of the Operating Companies. Please note that we are looking for someone with demonstrated experience leading and managing these teams.
This is a fantastic opportunity for you to work with a strong foundation of people and put into place your strategic and tactical view for how these functions should operate. This role is newly created, so you will have a clean slate to implement best practices across the entire Business Operations organization.
Responsibilities include:
1. Structure the Shared Services Organization to efficiently and effectively support the strategic and tactical needs of the Operating Companies.
2. Establish metrics for all Departments within the Shared Services Organization.
3. Establish and maintain an effective organizational design structure for reporting, controlling and supporting the Shared Services Organization and the Operating Companies.
4. Establish and document Standard Operating Procedures for the Shared Services departments and teams.
5. Implement systems which will support and automate the functions of the Shared Services departments and teams.
IT:
- Oversee the management of Information Technology resources including policy and practice development, planning, budgeting, resourcing and training
- Ensure and oversee the core business data mapping between all systems throughout the organization
- Oversee the efforts to necessary to comply with all corporate policies and procedures in support of information security protocol and compliance requirements
- Ensure high standards and service levels are provided by all Information Technology teams
Accounting:
- Oversee the financial operations of Operating Companies and foreign operations
- Provide support to the Finance Organization and Operating Company CEOs to complete and maintain quarterly budget process
- Provide support for the consolidation of financial and operational reporting
- Participate in regular financial reviews, quarterly business reviews, and forecast review meetings with key stakeholders
- Provide monthly reports to the Finance Team and Operating Company CEOs
- Ensure internal controls are fully aligned with the company's policies and standards
Purchasing:
- Oversee the management of the purchasing organization in relation to the annual procurement budget and perform periodic cost and productivity analyses
- Ensure that purchasing activities are on track to reach important financial objectives and cost-saving targets
- Oversee the development, implementation, and ongoing management of procurement processes, policies, and procedures
- Oversee major procurement projects
Human Resources:
- Review, design, and execute on improvements to organizational structure, find knowledge and skills gaps and help address them, design optimal workflows, and align internal processes
- Ensure there is training, motivation, and development of team members to foster optimal performance
- Oversee employee benefit plans, with an emphasis on maximizing a cost-effective benefits package
Experience Requirements:
- Bachelor’s Degree (MBA a Plus)
- Minimum of 10 years of senior management experience with P&L responsibility
- Previous demonstrated executive experience in an internally-facing shared services model is a must, including VP of Operations, COO or CFO experience preferred
- Demonstrated ability to create and lead teams, and develop people
- Experience managing budgets within a corporate structure with multiple entities
- Experience managing external legal counsel
- Demonstrated ability to manage complex processes including development of IT systems
- Excellent oral and written communication skills
