Are you an organized and detail-oriented professional with a passion for planning and delivering successful events? We’re seeking a dynamic Events Administrator to support the ideation, coordination, and execution of a variety of events across internal and external stakeholders.
Role Overview
The Events Administrator will work closely with leadership and event teams to coordinate and deliver high-quality events. You will handle logistics, scheduling, venue setup, and technology requirements for virtual, hybrid, and in-person events. This role also requires managing registration systems, liaising with faculty, partners, and contractors, and ensuring all activities are executed efficiently.
Key Responsibilities
- Event Planning & Execution: Oversee scheduling, venue setup, registration, and coordination of event logistics for faculty, student-focused, and recruitment-related activities.
- Stakeholder Coordination: Act as the primary point of contact for faculty, partners, media, and vendors to ensure seamless communication and event delivery.
- Technology Management: Manage virtual and hybrid events, including live streaming and troubleshooting technical issues to ensure smooth operations.
- Project Support: Collaborate with internal teams to provide strategic event support and contribute to ongoing event improvements.
- Budget Management: Assist in managing event budgets and tracking expenses to align with funding requirements.
- Marketing & Promotion: Support communication efforts to ensure events are well-promoted through appropriate channels.
Qualifications
Required Education:
- Bachelor’s Degree in management, business, marketing, social sciences, global affairs, education sciences, or a related field.
Preferred Education:
- A Master’s Degree or Ph.D. in a relevant area is a plus but not required.
Required Experience:
- 3+ years of experience in event administration, project coordination, or event planning in academic, corporate, or startup environments.
- Experience managing budgets, coordinating teams, and executing multiple projects simultaneously.
Required Skills & Knowledge:
- Exceptional written and verbal communication skills in English.
- Strong organizational and project management skills, with the ability to prioritize tasks in a fast-paced setting.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Drive, Adobe Illustrator, Photoshop, and web-based tools for event coordination.
- Technical skills for managing virtual and hybrid event platforms (e.g., live streaming, registration tools).
- Excellent interpersonal, problem-solving, and analytical skills.
- Ability to adapt, remain responsive, and deliver high-quality results under pressure.
Preferred Skills & Knowledge:
- Passion for addressing global issues or human-centered initiatives.
- Familiarity with marketing and communication strategies for event promotion.
Compensation
- Annual Salary: $68,000 - $75,000 (based on experience and qualifications).
- Compensation reflects base pay only and excludes incentives, bonuses, or other benefits.
