Duties
- To manage and assist the PBP and other members of the Senior Management Team in staff recruitment.
- Where required, ensure that all vacancies are authorised.
- To ensure that all applications for posts within all departments are promptly and processed, taking account of the organisations policies and procedures e.g. Recruitment & Selection Policy, Equal Opportunities & Diversity Policy.
- To ensure that references are obtained, and, that potential candidates are vetted relating to any criminal records (Ensuring that a Disclosure & Barring Service check is in place)
- To ensure that prospective employees complete a medical questionnaire, and to make such arrangements as necessary. Advising the PSBP (in their absence the Head of People Services) of any concerns which may arise from the medical reports.
- To support the PBP in ensuring that new employees are monitored and assessed and provided with appropriate assistance during the probationary period. Run a monthly report and track probationary periods.
- To ensure that all general enquiries from the public, about employment are dealt with promptly and in a professional manner.
- To ensure all vacancies are advertised internally and assist as required the PSBP in placing all vacancies for employment externally.
- To liaise with the Managers regarding all current and future vacancies to ensure that the team provides an efficient and effective Service to the various Departments within the organisation.
- Manage initial warm up calls with perspective future talent.
- To oversee the interview panels, ensuring that the panel members are the appropriate managers participating in the selection process.
- Participate in the selection process in most interviews as time permits.
- Provide updated information regarding the status of new staff, i.e. potential start dates, Disclosure & Barring Service (DBS) status, references and advise the Heads of Services and PSBP, during frequent recruitment update meetings.
- Conduct inductions with new Staff. Including meeting and greeting the new employees, delivering the People Service Induction and supporting any new employees with issues that may arise throughout the induction.
- Update on a regular basis the staffing matrix for the PBP in preparation for the Registered Managers and Service Managers fortnightly meetings.
- Liaise with the PBP in relation to pregnant staff and staff on maternity leave, regarding their return to work.
- To notify the IT Department/Payroll and Training Departments of all new staff.
- Support on recruitment open days as required.
General
- Conduct exit interviews were deemed appropriate to enable monitoring of staff retention.
- Arrange and support PBP in conjunction with the relevant Manager capability meetings and probationary review meetings.
- Support as and when deemed necessary the PSBP with disciplinary and grievance matters.
- Support as required the PBP with staff sickness absence queries, check SIP to ensure correct information has been recorded
HR Records
- To update and maintain the current computerised database – System Information Platform known as SIP and the manual personnel records compliant with the Data Protection Act.
- To ensure that all new staff have individual records (files and digital on SharePoint) initiated promptly, and that the Finance Department is given all the necessary information for the implementation of the agreed remuneration.
- To write confirmation letters to any staff who resign and update SIP accordingly and advise the Finance Department.
- Complete all changes and variation letters for the designated work area.
- Action fact only reference requests.
- To maintain all the Relief/Bank Staff Support Worker records to ensure that they are up to date and relevant.
Other
- To assist the PSBP as and when required.
- To provide administration support to the People Services Department.
- To participate in the staff appraisal and supervision programme as required. To undertake training conducive to personal development.

Staff are required to undertake, in exceptional circumstances, and following prior consultation, other duties which may, from time to time be specified by senior management.
As with all post in the organisation, a high degree of confidentiality is always expected. At no time will the post holder discuss the individual people we support, their families or other confidential matters connected with Autism Together and its staff, outside of the organisation.
Notwithstanding, under our confidential reporting policy you will be required to raise any concerns, particularly those concerns which may be deemed a matter of safeguarding the people we support.
