Purpose of the role:
The Senior Vault Officer will have full accountability for the day to day management and oversight of the vault, ensuring secure and efficient cash processing.
The role includes managing and developing the team, maintaining compliance with audit requirements, and proactively driving operational efficiency and productivity through process improvements and systems such as the Namsy Scheduler.
Key Responsibilities:
- Vault Operations Management
- Oversee all day-to-day activities within the vault, including the secure processing, reconciliation, and storage of cash and valuables.
- Ensure compliance with company policies, security protocols, and regulatory requirements at all times.
- Monitor and manage vault stock levels and cash flows to ensure operational needs are met.
- Team Leadership and Development
- Lead, manage, and develop a team of vault personnel, ensuring clarity of roles, accountability, and high standards of performance.
- Carry out regular performance reviews, provide coaching, and identify opportunities for staff training and development.
- Maintain staff morale and motivation, fostering a professional and productive working environment.
- Audit and Compliance
- Take ownership of internal and external audits, ensuring all processes, documentation, and systems meet audit and compliance requirements.
- Maintain accurate records of all vault activities, including stock movements, discrepancies, and system updates.
- Identify and address any non-conformities or process weaknesses promptly.
- System Implementation and Optimisation
- Oversee the implementation and effective use of the Namsy Scheduler to streamline operations, improve resource planning, and enhance efficiency.
- Continuously evaluate and refine processes to optimise the performance and productivity of the vault.
- Proactive Operational Improvement
- Identify opportunities to improve operational efficiency, reduce processing times, and enhance service delivery.
- Implement changes to processes, workflows, or equipment that support greater productivity and accuracy.
- Drive a culture of continuous improvement within the team.
- Health, Safety, and Security
- Ensure all Health & Safety and Security protocols are adhered to within the vault.
- Conduct regular risk assessments and take action to mitigate any identified risks.
- Maintain vigilance to ensure the safety of staff, cash, and assets.
- Reporting and Communication
- Provide regular reports to CViT management regarding vault performance, team achievements, and process improvements.
- Ensure open and effective communication with other departments, including transport, security, and client services teams.
- Escalate any significant issues or risks to management promptly.
Essential Requirements for the Role:
- Ability to gain a DBS certificate
- Proven experience in a leadership role within a CViT or similar secure cash processing environment (desired, however key requirement is management/leadership skills)
- Strong team management and people development skills, with a focus on accountability and performance.
- Experience in implementing and utilising operational and IT systems (e.g., Namsy Scheduler or similar).
- Understanding of audit and compliance requirements in a secure cash environment.(Desired not essential, as training will be provided)
- Proactive mindset of identifying and implementing efficiency improvements.
- Strong problem-solving skills with the ability to work under pressure and meet deadlines.
- Excellent organisational, communication, and interpersonal skills.
