Job Overview:
We are seeking a professional and friendly Office Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing a warm welcome and ensuring the smooth operation of front desk activities. The Office Receptionist will manage incoming calls, handle administrative tasks, and support the overall efficiency of the office.
Key Responsibilities:
Front Desk Management:
- Greet and welcome visitors in a courteous and professional manner.
- Answer and direct phone calls to the appropriate departments or personnel.
- Maintain a tidy and organized reception area.
Administrative Support:
- Manage incoming and outgoing mail, including packages and deliveries.
- Schedule and coordinate appointments and meetings.
- Assist with data entry, filing, and document management.
- Prepare and distribute correspondence, memos, and other documents as needed.
Customer Service:
- Address inquiries and provide information about the company to visitors, clients, and employees.
- Handle complaints or direct them to the appropriate person for resolution.
Office Coordination:
- Monitor and order office supplies as needed.
- Assist in coordinating office events, meetings, and conferences.
- Liaise with building management and vendors for office maintenance and repairs.
Security:
- Ensure that visitors sign in and are issued visitor badges if required.
- Monitor access to the office to maintain security and confidentiality.
Qualifications:
- High school diploma or equivalent required. Associate’s degree or relevant certification is a plus.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain a professional appearance and demeanor.
