The Professional Office Assistant/Administrator position is a key position in our organization. This is a hub position performs a multitude of tasks and is responsible for providing ongoing support to the management team. Will perform administrative, office related tasks including some bookkeeping, time collection, human resources assistance and many other tasks and other projects as assigned. An interesting position that will be further defined by the person who holds it. Responsibilities
Act as the face of IndusPAD to monitor customers, visitors, vendors with contact information and directions
Support executive management team in day to day routines
Correspond/communicate with customers, tenants, vendors and staff
Will be a point person to work/communicate with our 3rd party HR team
Ability to perform basic AP/AR duties. QuickBooks experience a plus
Some billing assistance, banking tasks, sending out payments, respond to vendor invoices
Ensure prompt payments, resolve billing or payment discrepancies
Posting payments, organizing and filing deposit receipts and invoices
Act as a point person for mail, UPS, FedEx
Organize and maintain all the office and business-related documents such as vendor information, invoices, notices, letters, tenant correspondence etc.
Assist Senior staff with some personal tasks
Preparation of reports or presentations as scheduled or requested
Will assist with payroll and time sheet correlation
Arranging for business lunches or catering from time to time
Special projects/tasks will be assigned, this is a team role

Ability to perform routine functions of various office equipment and systems (internal phone directory, as well as photocopying, printing
Ability to provide coverage for occasional overtime and meet deadlines when needed
Strong ability to write in a cohesive, comprehensive manner, good language Skills
Able to handle multiple tasks, detail oriented, can deliver on project timelines
Good interpersonal/communications skills and the ability to exchange information clearly and concisely
