Job Summary:
We are seeking a personable and detail-oriented Front Desk Representative to be the first point of contact for visitors and clients. This role involves greeting visitors, answering phone calls, managing incoming mail, scheduling appointments, and performing other administrative tasks to support the office’s daily operations. The ideal candidate has excellent communication skills, a professional appearance, and a strong commitment to customer service.
Key Responsibilities:
- Greet and Welcome Guests: Warmly greet clients, visitors, and employees as they arrive; ensure a positive, welcoming experience.
- Manage Reception Area: Keep the reception area organized, stocked, and presentable; handle light housekeeping duties as needed.
- Answer and Direct Calls: Handle a multi-line phone system, field calls, answer inquiries, take messages, and route calls to the appropriate personnel.
- Mail and Deliveries: Receive, sort, and distribute incoming mail and packages; arrange outgoing shipments as necessary.
- Administrative Support: Provide clerical support to various departments, including filing, copying, scanning documents, and managing office supplies.
- Security: Follow and enforce building access procedures; notify security staff or supervisors of any concerns or unusual activity.
Qualifications:
- Education: High school diploma or equivalent required; associate’s degree or higher preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with office phone systems is a plus.
- Communication: Strong written and verbal communication skills; ability to interact professionally with visitors and staff.
- Customer Service Orientation: Friendly, approachable, and attentive to the needs of clients and visitors.
