Art School Operations Manager

 

Reports to: Senior Commercial & Operations Manager

Based: Putney

Salary: £31,939 per year

Contract: Permanent, Full Time

Role Overview

 

Working closely with the Senior Commercial and Operations Manager, the Operations Manager is responsible for ensuring the operational needs of all sites and facilities, including specialist studios for ceramic, printmaking, the art shop and café, are fulfilled effectively.  This includes responsibility for the security of the building, the management of repairs, the maintenance of equipment and he Health and Safety of staff, students and visitors to the site.

 

Main Duties and Responsibilities

 

  • Management and supervision of the following staff; Premises Officers, Technicians, School Attendant & Café Staff 
  • Working with the Senior Commercial and Operations Manager, they will be responsible for the development and implementation of excellent Health and Safety procedures to ensure safe working practices of all staff, students, visitors and contractors. 
  • Ensuring staff teams keep regular stock checks in the café, the shop and specialist resources.  
  • Supporting the Senior Commercial and Operations Manager to review suppliers and contractors with appropriate teams to ensure the school continue to provide value for money, high quality and cost-effective service. 
  • Ensuring that safety inspections, annual LEV certification, alarm tests, evacuation and risk assessment procedures are completed to departmental guidelines. 
  • Maintaining a record of all safety inspections and certificates. 
  • Working with relevant teams to ensure that all equipment used in teaching studios is kept in good repair, including specialist equipment and IT equipment, with any faults reported to IT help desk.  
  • Overseeing the ordering of materials for the pottery studio, printmaking studio, painting studios, café & shop in liaison with support staff and tutors. 
  • Ensuring that new equipment is added to the inventory, and that an annual inventory check, including check on disposals is completed. 
  • Managing the school café to include ensuring effective staff coverage of the café’s opening hours and   working with café staff to ensure all day to day operations are completed to provide a quality, cost effective and efficient service to all customers. 
  • Ensuring the school café, complies with the checks and tests required by Environmental Services to maintain standards and hygiene for the safe preparation, serving and storage of food. 
  • Monitors the work of the cleaning staff and ensures all cleaning and the provision of towels and services is carried out to specified standards, 
  • Ensuring studios, teaching spaces and communal areas are prepared by the duty premises officer, including making sure that effective action is taken before extra events and between routine classes e.g. oversees the clearing of studios, rubbish, emptying bins, and that cleaning, including toilets, is performed. 
  • Ensuring that specialist equipment is prepared for teaching by the technicians as required. 
  • The post will involve occasional attendance in the evenings and weekends. 
  • Undertake front of house duties when required, providing excellent customer service.
  • To carry out any other reasonable duties and responsibilities within the overall function, as directed by the Head of School. 

General Responsibilities 

 

  • To comply with all of the company policies, including the Code of Conduct, data protection and health and safety.
  • To be fully aware of and understand the duties and responsibilities arising from the Children Act 2004 and Working Together in relation to child protection and safeguarding children and young people. To also be fully aware of the principles of safeguarding as they apply to vulnerable adults in relation to your work role.
  • To ensure that the Head of School / safeguarding officer is made aware and kept fully informed of any concerns which you may have in relation to safeguarding and/or child protection.

 

 

Person Specification 

 

  • Have management experience. 
  • Knowledge of Ceramic or Printmaking Disciplines 
  • Be a confident and effective communicator who can install trust among the staff teams and students. 
  • Be a decisive manager who can make difficult decisions in a timely manner. 
  • Be articulate and approachable with excellent interpersonal skills. 
  • Ability to deal with staff at all levels. 
  • Be proactive, and versatile, with willingness to be flexible to help meet urgent and important business deadlines. 
  • Can work under pressure to meet the needs of the school business. 
  • Knowledge of importance of Health and Safety. 
  • Can prioritise own workload with good time management abilities.  
  • Ability to attend meetings or work out of hours as required for the school and the company.
