General Overview
Working within the Events Team and reporting to the Events Manager, the Events Sales Administrator will be responsible for managing all initial venue hire enquiries to increase sales conversions, as well as support the team’s administrative functions.

We are looking for someone who is passionate about excellent customer service and who thrives on helping clients find solutions for their event enquiries. Someone who has previous booking/sales experience and a high level of attention to detail. Someone who is happy to be hands on and get stuck into any project. The selected candidate will be the first face/voice of our service and represent a team who pride themselves on being the "yes" people and going the extra mile for their clients.
Responsible for:
Enquiries / Administration
Managing all venue enquiries via the events inbox/main phone line to increase venues’ sales conversions
Being the first point of contact for all event enquiries, and advising clients on venue information including but not limited to; availability of venues, Terms & Conditions for Hire, licences as required, quotes, pricing policies
Maintaining all enquiries are entered into booking system, and ensuring all information is accurate and up to date
Producing weekly event reports, gather enquiry statistics and create report templates as required by the team
Dealing with relevant queries, Freedom of Information Requests, and complaints raised by clients and members of the public. Updating the complaints and compliments log, and when necessary, escalating to the appropriate Events Team member or Head of Events
Providing all necessary research / information to any planning applications and biennial advertising consent applications for events
Carrying out research projects, compiling statistics and producing reports as required
Liaising with the marketing team to ensure all our venue listings and advertised information is up to date and accurate
Minuting meetings as required
Carrying out other duties as directed by the Corporate and Community Events Manager, Senior Community Venues and Events Manager or Head of Events
Diaries/ Booking Systems
Updating and maintaining booking system with venue bookings and emailing to relevant staff and third parties in a timely manner
Manage equipment hire booking system/sign out
General Office Support
Ordering of stationery and office/kitchen supplies and the tidy organisation thereof
Ensuring the conference room/kitchen is set up for clients/ meetings when required and booking regular cleaning of conference room and other venues, while ensuring the kitchen is tidy at all times
Weekly setting of electric clock as required by late night events
Tidying and organising layout of Events stores, accuracies of inventories, and reporting any damage or replacement of equipment required to the Head of Events
Tidy maintenance of online Events filing systems
Maintaining accuracy of the GDPR log
Sign out of Events’ keys
Office recycling
Finance
Maintaining accurate monthly budget records with input of all invoices and purchase orders
Responsible for initial reconciliation of monthly financial transaction report, in conjunction with Head of Events
Ensuring compliance with Enable’s financial regulations, procedures and codes and providing assistance as required with audits
Seeking quotes for goods and services in line with Enable’s Procurement Code, and raising purchase orders as required.
Maintaining the monthly credit card log and ensuring the corresponding receipts being submitted to Finance Team monthly
Buggies
Creating and maintaining the buggy booking calendar system
Daily check of buggies, ensuring all are on charge at the end of the day
Regular buggy maintenance including but not limited to checking buggies for low battery water, damage, tyre pressure. Ensuring 6 monthly maintenance call out and adhoc maintenance requests as necessary
Skills and Experience
Previous venue sales/ booking experience
Exceptionally high standards of customer service, attention to detail and organisational skills
Ability to communicate effectively and professionally in writing, by telephone or face to face with clients, members of the public, senior management, and other staff
Previous experience in administration and/or office support
Competence using a range of office software, including outlook, excel and databases
Previous experience with invoicing/ purchase order data systems eg Xero
Comfortable working outdoors when necessary and supporting on manual tasks when required
Ability to effectively manage multiple tasks/projects against tight deadlines
A creative mind with an ability to quickly problem solve, suggest improvements and demonstrate initiative
Friendly and competent at building rapport with a positive, can-do, go-getter attitude
Ability to work autonomously under the direction from senior team members
