We are seeking an experienced Chief of Staff to provide high-level strategic and operational support to the CEO. The Chief of Staff will play a critical role in ensuring the CEO’s office runs efficiently and effectively, driving key initiatives, and facilitating communication and coordination across the organization. This position requires a dynamic professional with proven experience in C-level executive support, strategic planning, and operational management.
Key Responsibilities:
1. Strategic and Operational Support:
- Assist the CEO in developing and implementing business strategies to achieve company goals.
- Oversee the execution of key initiatives and projects, ensuring alignment with the company’s mission and vision.
- Prepare strategic documents, presentations, and reports for the CEO.
2. Communication Management:
- Screen and direct incoming calls or visitors to the appropriate individual or department.
- Manage internal and external communications on behalf of the CEO, ensuring timely and accurate information flow.
- Conduct research and follow up on inquiries that require more in-depth information.
3. Scheduling and Calendar Management:
- Assist the CEO with scheduling appointments and maintaining an updated calendar.
- Coordinate and manage appointments, meetings, and travel arrangements as needed.
4. Administrative Support:
- Perform various clerical tasks utilizing knowledge of office systems and procedures.
- Prepare and type letters, correspondences, reports, and presentations as needed.
- Maintain an efficient and organized filing system, including contracts lists and other pertinent information for the CEO.
5. Office Management:
- Handle day-to-day office administration through phone, written, and face-to-face contact with those requiring assistance from the CEO’s office.
- Process billing invoices and maintain accurate records as necessary.
6. Communication and Coordination:
- Communicate effectively within the organization and to the community to successfully complete administrative needs as requested.
- Act as a liaison between the CEO and senior management team, ensuring smooth and efficient communication and coordination.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field. MBA preferred.
- Minimum of 5 years of experience in administrative assistance, with at least 3 years in C-level executive support.
- Proven experience in strategic planning, project management, and operations.
- Strong leadership skills with the ability to manage and motivate a team.
- Excellent organizational and problem-solving abilities.
- Proficiency in Google Suites, MS Word, Excel, and PowerPoint.
- Strong communication and interpersonal skills.
- Ability to work independently to meet deadlines and manage multiple tasks in a fast-paced and ever-changing environment.
- Strong attention to detail and a proactive approach to problem-solving.
