Responsibilities
- Manage executive schedules, including appointments and meetings, ensuring that time is used efficiently.
- Handle incoming calls and communications, directing inquiries to the appropriate personnel and responding to messages promptly.
- Prepare and organize documents, reports, and presentations as needed for internal and external stakeholders.
- Maintain and update filing systems, both electronic and physical, ensuring that data is easily accessible and organized.
- Assist with the preparation of meeting agendas and take detailed minutes during meetings, distributing them to relevant team members afterward.
- Coordinate travel arrangements, including flights, accommodations, and itineraries for team members.
- Support various administrative tasks such as data entry, processing invoices, and managing office supplies.
Requirements
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent written and verbal communication skills to interact effectively with team members and clients alike.
- Ability to prioritize tasks and manage time efficiently to meet deadlines in a fast-paced environment.
- Demonstrated organizational skills with a keen eye for detail and accuracy in work output.
- Familiarity with project management tools and virtual communication platforms (e.g., Slack, Zoom) is a plus.
