Intermission Film is looking for an experienced and organised Office Manager to look after its three London offices (all practically neighbours!) based in Shoreditch. The role requires someone who is proactive and positive whilst employing good judgement with an unwavering confidence in their decision-making.
In this role, you will work closely with the wider Operations team supporting around 70 colleagues across all departments to facilitate the smooth running of day-to-day activities as well as implementing changes and improvements.

Please note, there may be some weekend work required. Any such work is compensated. Due to the nature of the work, this role is office-based.
What you will do…
- Day-to-day upkeep of the offices and managing all reactive requests
- Ensuring facilities are secure and well maintained, keeping maintenance organised
- Identifying any building improvements or staff needs and proactively organising goods/ repairs/replacement
- Managing and maintaining all services throughout the buildings (e.g., Internet, utilities, maintenance, cleaners, air conditioning, access control, security alarms).
- Overseeing contractor work and maintenance, liaising with all suppliers and tradesmen to ensure high levels of service and good working relationships
- Maintaining contact list of relevant contractors
- Assisting with any office move or internal space changes
- Managing reception and the front of house team, overseeing their development and training within an operational capacity, working closely with other departments
- Acting as the day-to-day point of contact for landlords/managing agents and service suppliers
- Implementing office health and safety checks, keeping records and providing reports as necessary
- Providing risk assessments as required by the business
- Maintaining the company’s IT asset tracking database
- Assisting with employee onboarding and offboarding, including health and safety and security inductions, and allocating/recovering equipment
- Maintaining the core company tech stack (Google, Microsoft, Slack) in terms of user count, assigning email addresses, passwords etc.
- Assisting with operational expenses and finance reporting
- Supporting in events organisation: e.g., annual Christmas parties, private cinema screenings, regular team dinners and socials, etc.
- Supporting preparations and presentations for studio, streamer, and all client security compliance/inspections
- Maintaining audit logs relating to security and access: door fobs, the alarm system and CCTV, ensuring we maintain security protocols across the company.
- Ensuring company compliance relating to regulatory bodies e.g., HSE, fire regulations, building regulations, local councils, and insurance policies.

- Proven experience working in a facilities or office role in a busy and fast-paced creative or agency environment
- Great interpersonal and communication skills, with the ability to build strong and trusted working relationships with a variety of stakeholders, internally and externally
- Strong organisational skills and the ability to prioritise workloads in a reactive environment with conflicting demands
- Ability to keep a level head whilst maintaining a can-do attitude under pressure
- A highly service-orientated mindset with strong attention to detail and excellent problem-solving skills
