We are looking for Production Co-Ordinator to join our dynamic, award-winning, international team. The role will be based out of our NYC office.
Supporting the Production, editorial, and occasionally the Creative Content team to successfully execute audio-visual projects, from initial research and strategy through development and delivery. As a Production Co-Ordinator, you will learn key practical skills to support Production and Editorial, working alongside a range of departments to contribute to the success and growth of Intermission’s work.
What you will do
Production management & support:
- Supporting global production teams for the necessary tasks within a project lifecycle, working collaboratively across all Intermission departments: editors, producers, graphics, music, copywriters and finance teams.
- Creating production deliverables including cue sheets, CCSLs, subtitle files, archiveclearance documents, likeness releases, NDAs etc.
- Working with the producer to track client feedback and all associated costs to ensure cost reports are up to date.
- Coordinating the ingest and project set-up of AV material into Nexis.
- Working with Editor and Edit assists as directed by the production team.
- Be responsible for quality control of final assets or preps delivered to client
- Managing media sharing platforms - monitoring usage and creating presentation links.
- Music supervision assistance - music searching for commercial and library music, liaising with music supervisors, record labels and publishers.
- Logging footage– ensuring client reports are up to date with the producer.
- Project research- consolidating project background information, sourcing reviews, writing script synopsis, pulling comparable examples.
- Presentations - creating pitch docs and treatments, formatting documents for presentations.
- Sourcing any additional material needed for projects including stock footage or media for sizzle reels.
- Coordinating the online &finishing process; liaising with mixers and onliners to ensure timely and accurate delivery.
- Support with office admin tasks – (including but not limited to) scanning documents, binding scripts, filing.
- Production communication - maintaining schedules, shoot calendar and ad hoc diary management for the production team.
- Assisting in booking crew and negotiating rates.

- Proven experience working in a busy and fast-paced creative or agency environment.
- Ability to work well as part of a team and create strong working relationships.
- A high level of organization and excellent communications internally and with clients is essential
- Excellent time management with the ability to handle several projects simultaneously and keep a level head under pressure, in a reactive environment with quick turnaround times.
- Exceptional attention to detail skills
- Self-motivated and diligent.
- Comfortable working in an international company across multiple timezones
- Strong working knowledge of Microsoft Office software (Excel, Word, Powerpoint) as well as Google Programs (G-Sheet, G-Docs, Slides)
- Discreet and tactful with an understanding of the need to maintain confidentiality and data protection good practice.
- A proactive, flexible, and adaptable approach.
- Keen interest in film, and enthusiasm and willingness to learn.
- Familiarity with Avid and Adobe programs is a benefit.
