The role

We are looking for an organised, proactive, and hard-working person to join the Penfold team as an Admin Assistant on a part-time basis. This role will be responsible for efficiently managing a core range of administrative tasks to help enable the smooth running of our business day to day. 


 

Here’s what you’ll role will look like over the first six months:

 

  • Support the leadership team with regular and ad hoc administrative tasks like calendar, expense and travel management, equipment ordering and correspondence.
  • Run our weekly payment and expenses process, collecting information on required payments from different sources, co-ordinating approvals, and preparing payment runs in our online banking system. 
  • Manage key HR tasks, including contracts, paperwork, record keeping, and the onboarding of new starters to Penfold including equipment ordering and tracking. You’ll also be responsible for collating all payroll changes each month and preparing the first draft of the company payroll for approval by the finance team.
  • Provide office support, including helping us find a new home for both our London and Tallinn team.
  • Organise our social calendar: team lunches, after-work socials, larger quarterly company events including off-sites and Christmas parties.
     

About you: 

  • UK based and available to travel to our London office once, every two weeks and for key company events.
  • 2 years admin experience.
  • Hyper-organised with excellent attention to detail.
  • A self-starter who can use their initiative – we want this person to see that something that we’re doing could be improved and come forward with a solution to make things better
  • Finance and accounting experience in particular with excel, online banking or finance systems (e.g processing payment runs), but if not, as long as you have a willingness to learn quickly and pick up new systems and tools you will thrive.
  • You’ve worked in a fast-paced environment so can move quickly, get stuff done, respond to changing priorities and enjoy it! You’re confident multi-tasking in a busy role and being able to think on your feet, remain calm and prioritise effectively!
  • Your verbal and written English skills are excellent.
  • Willingness and flexibility to get stuck in and help on anything – no problem should be too small if it’s impacting the team. 
  • Demonstrated high levels of professionalism and integrity - you’re comfortable handling confidential information.

Our office/working hours

  • We’re looking for someone to work with us part-time, 20-30 hours per week.
  • We’re a remote-first business, with lots of flexibility, but also have an office in London where more of the team comes to the office regularly, where you’ll always be welcome.
