Hi, we’re Penfold - we’re on a mission to help everyone save enough to be comfortable in later life! 🚀

There’s over a trillion pounds sitting in UK pensions – but most of it is with legacy providers offering outdated products and poor service. We’re here to change that.

Penfold is building the pension of the future – a modern, tech-first platform that makes saving for later life easy, engaging and accessible for everyone.

We’re a growing team of 60+ builders across London and Tallinn, backed by some of the world’s leading FinTech investors. Having raised £25M+, we manage £800M+ in pensions for over 100,000 savers and thousands of businesses — and we’re on track for profitability next year.

As one of our first 60+ hires, you’ll play a key role in shaping our culture and have loads of opportunity to grow, progress and make your mark.

About the role

We're looking for a Operations Associate to join our Regulatory Operations team within Penfold’s wider Operations function.

Think of this role as one of the guardians of Penfold’s tax reporting lifecycle. We submit a range of mandatory tax reports to HMRC and other bodies – monthly, half-yearly, and annually – and we need someone who can manage these processes with accuracy, precision, and a love for working with data.

You’ll take end-to-end ownership of our tax relief claims and reporting processes, ensuring everything is submitted on time, reconciled correctly, and allocated accurately when payments are received. You’ll be instrumental in keeping everything running smoothly while we transition to a more automated, streamlined approach in the coming months.

What You’ll Do

Process Penfold’s monthly tax relief claims, ensuring submissions are accurate and complete.

Allocate tax relief payments once received, making sure all values are correctly matched and accounted for.

Run, manage, and submit various tax reports that occur monthly, six-monthly, and annually.

Handle large amounts of data across multiple systems – spotting anomalies, fixing issues, and ensuring data integrity.

Work closely with Regulatory Operations, Finance, Engineering, and other internal teams to keep our tax processes compliant and up to date.

Identify opportunities to automate and optimise repetitive tasks – and work with Product & Engineering to help make that happen.

Keep documentation sharp, clear, and current so that processes remain robust and auditable.

Support audits and regulatory reviews with well-structured data and detailed reporting.

What We’re Looking For

  • 1–3 years’ experience in operations, finance, tax, accounting, or a similar data-driven role.
  • Strong Excel or Google Sheets skills – comfortable working with formulas, joins, lookups, pivots, and large datasets.
  • Advantageous: some working knowledge of SQL or an interest in learning it.
  • A detail-focused, analytical mindset – you spot when something doesn’t quite add up.
  • Comfortable handling and manipulating significant data volumes across multiple systems.
  • A clear and confident communicator who can work effectively with teams like Operations, Finance, and Product.
  • Proactive, adaptable, and calm under pressure – especially around reporting deadlines.

Bonus Points For

  • Familiarity with UK tax rules, particularly around pension tax relief.
  • Experience working within a regulated environment or on tax-related processes.
  • Exposure to automation tooling, scripting, or workflow optimisation.
  • Experience handling tax reporting or HMRC submissions.

Our application process:

  • Initial screening call
  • Take home task
  • Hiring manager interview
  • Culture fit interview (this is as much for you to get a better sense of us)
  • Final meeting with the head of Operations

Benefits:

We’re working hard to create a working environment where people feel empowered to do their very best work, make a big impact, and enjoy what they do. Specifically, our benefits package includes:

  • A competitive salary – we proactively review salaries to make sure you get what you deserve
  • Meaningful share options – own a part of Penfold and share in our success
  • Medical insurance through Confido
  • Unlimited holiday – we’re interested in your output, not how many holidays you go on!
  • Hybrid working – we like people to come into our office (so you need to live in Tallinn) at least a couple of days a week to collaborate, but we trust you to get your work done in whatever environment suits you
  • Great community office space in the heart of Tallinn
  • Free drinks & snacks + company lunch every week
  • Laptop and WFH equipment as required
  • Learning and Professional Development – we conduct regular 360 feedback and focus on role progression that suits each individual
  • Quarterly company socials + regular team meetups throughout the year
  • Plus a host of other benefits – see benefits page

We are 100% committed to building a diverse and representative team. Whatever your race, religion, colour, national origin, gender, sexual orientation, age, marital status, or disability - we want to hear from you. If you have questions about the role or the company or the interview process, please let your recruiter know and we’re happy to answer these anonymously if that makes you feel more comfortable.
