Job Title: Remote File Correspondent Clerk
Location: Remote (U.S. based preferred)
Department: Administration / Records Management
Reports To: Records Supervisor or Administrative Manager
Employment Type: Full-Time / Part-Time

 

 

We are seeking a highly organized and detail-oriented Remote File Correspondent Clerk to manage, maintain, and distribute correspondence and digital files across our organization. In this role, you will support daily clerical operations by handling incoming and outgoing communications, indexing digital documents, maintaining filing systems, and ensuring that all records are accessible and up-to-date. This is a remote position ideal for someone who is self-motivated, tech-savvy, and has experience working with document management systems and administrative tools.

 

Key Responsibilities

* Receive, process, and route incoming correspondence (mail, email, digital uploads) to appropriate departments or personnel.
* Create, label, organize, and maintain digital filing systems to ensure secure and efficient access to records.
* Review documents for completeness and accuracy before filing or distributing.
* Respond to file or correspondence requests from internal departments in a timely manner.
* Maintain logs of received and dispatched documents, including tracking numbers or delivery receipts when necessary.
* Support document retention and destruction schedules according to company policy and regulatory requirements.
* Assist with data entry and document scanning tasks as needed.
* Communicate with internal teams to clarify or verify document details.
* Follow data privacy and confidentiality protocols at all times.


Qualifications

 

Required:

* High school diploma or equivalent (GED)
* 1+ year of experience in a clerical, administrative, or document management role
* Proficiency with Microsoft Office Suite, Google Workspace, or similar productivity tools
* Familiarity with digital filing and document storage platforms
* Excellent attention to detail and organizational skills
* Strong written and verbal communication skills
* Ability to work independently in a remote environment

 

Preferred:

* Experience with CRM or DMS systems (e.g., Salesforce, SharePoint, DocuWare, or similar)
* Prior experience in legal, healthcare, insurance, or financial services industries
* Typing speed of 50+ WPM with high accuracy
