The Opportunity:
Are you a strategic partner and right-hand operator who excels at connecting high-level strategy to day-to-day execution? We are seeking a highly proactive and results-oriented Chief of Staff to act as a force multiplier for our Founder.

This is a unique, hands-on role for a natural systems-builder who is equally comfortable managing critical projects, optimizing operational workflows, and handling the complex logistics of a fast-moving executive. You will be the central nervous system of the company, ensuring the Founder's vision is translated into clear action and that the business runs on efficient, scalable systems. Key Responsibilities:

  • Strategic Time & Priority Management (approx. 30% of your time):
    • Act as the strategic gatekeeper for the Founder's calendar, not just scheduling meetings, but ensuring their time is allocated to the highest-impact priorities.
    • Prepare briefings, manage follow-ups, and serve as a proxy for the Founder in key meetings to ensure strategic alignment and execution across the team.
  • Special Projects & Execution (approx. 30% of your time):
    • Take full ownership of critical internal projects from ideation to completion—from implementing new software to refining team-wide communication protocols.
    • Use project management tools like Asana to track key company initiatives, ensuring deadlines are met and all stakeholders are aligned.
  • Operational Systems & Process Ownership (approx. 40% of your time):
    • Design, implement, and refine the operational backbone of our long-term rental (LTR) portfolio.
    • Oversee the entire leasing lifecycle system, from listing and applicant screening to lease generation and digital file management in Google Drive.
    • Own and optimize the workflow for maintenance coordination, rent collection, and tenant communications, focusing on efficiency and scalability.
  • Executive & Team Logistics Oversight:
    • Manage all complex domestic travel and logistical arrangements for the Founder and coordinate team-wide events, ensuring seamless execution.

Who You Are (Our Ideal Candidate):

  • Experience: You have 5-7+ years of proven experience in a strategic role such as Chief of Staff, Project Manager, Operations Lead, or a senior Executive Assistant to a founder or executive. Experience in real estate or a startup environment is a major plus.
  • Operational Architect: You don't just complete tasks; you build and optimize the systems that perform them. You have a proven track record of creating scalable workflows from scratch.
  • Proactive & Strategic: You anticipate needs before they arise. You are a first-principles thinker who can identify problems, propose thoughtful solutions, and execute with minimal oversight.
  • Master of Execution: You have exceptional organizational and project management skills. You can translate a high-level goal into a detailed action plan and manage it flawlessly.
  • Tech-Savvy: You are highly proficient with Google Workspace (Gmail, Calendar, Drive) and are an expert in project management tools like Asana, Notion, or Trello.
  • Flawless Communicator: You have impeccable written and spoken English. You can communicate with authority and empathy to executives, team members, and tenants.
  • Discreet & Trustworthy: You are a vault. You understand the importance of confidentiality and can handle sensitive information with the utmost discretion.
