About the Role:
This is not a typical Executive Assistant position. We are looking for a strategic partner and force multiplier to act as the right hand to the Founder of a fast-growing real estate company. Your mission, should you choose to accept it, is to bring order to chaos and protect the Founder's time and attention as if it were your own.
You will be the central hub of the Founder's personal and professional life, responsible for everything from managing a complex, ever-changing calendar to handling personal logistics and acting as the primary gatekeeper for their inbox. The ideal candidate is a relentless problem-solver who thrives in a dynamic environment and gets deep satisfaction from anticipating needs and making things happen.
Who You Are (The Ideal Candidate):
- You are a "Fixer." You see logistical nightmares not as problems, but as puzzles to be solved. A sold-out flight or a last-minute scheduling conflict is a challenge you relish.
- You have high Emotional Intelligence. You can quickly learn the preferences and priorities of your executive and adapt your communication and actions accordingly.
- You are a Guardian of the Gate. You can live in a high-volume inbox, instantly identify the signal from the noise, and handle 90% of issues with minimal supervision.
- You are an Extension of the Founder. Your written communication is so clear, professional, and aligned with the Founder's tone that you can confidently respond on their behalf.
- You are an Unwavering Vault. You understand that you will be handling highly confidential personal and professional information, and you operate with absolute discretion and integrity.
What You'll Do (Key Responsibilities):
- Manage and strategically optimize the Founder's complex and dynamic calendar across multiple time zones.
- Live in the Founder's inbox, acting as the primary gatekeeper to triage, respond, and escalate only the most critical items.
- Handle all personal and professional travel logistics from end-to-end, anticipating needs and solving for disruptions before they happen.
- Manage personal logistics, including scheduling appointments (health, family, etc.) and coordinating personal tasks.
- Drive communication and follow-up on key initiatives, ensuring the Founder's priorities are always moving forward.
- Proactively identify and solve administrative and operational bottlenecks before they become problems.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or Chief of Staff supporting founders, entrepreneurs, or C-level executives in a fast-paced environment.
- Exceptional, world-class communication skills (both written and verbal).
- Demonstrated ability to solve complex logistical problems creatively and with a high degree of autonomy.
- Tech-savvy and highly proficient with Google Workspace (Gmail, Calendar) and modern productivity tools.
