We are looking for an organized and efficient Executive/Personal Assistant to support the day-to-day of our dynamic CEO and Founder. You will need to act proactively and in some cases without guidance, while understanding the needs and characteristics of people with whom you work with.

Responsibilities of the Position

  • Manage our CEO’s personal calendar and appointments
  • Monitor and daily recap CEO’s public email
  • Schedule/re-schedule CEO’s meetings and tasks
  • Interface with clients and partners relating to CEO’s calendar
  • Maintain composure and professionalism with high-profile individuals
  • Delegate effectively to housekeeper, gardener, administrator, driver (mainly for travel), and additional support staff
  • Ensure CEO is organized and supported throughout busy days
  • Takeover relevant service applications, including Instacart, Postmates, DailyHarvest, and GreenChef
  • Organize and maintain a wellness schedule alongside other support staff
  • Work from Pasadena location a few days each week
  • Plan logistics of travel and coordinate with travel advisors and hotels, as requested
  • Miscellaneous personal assistant duties and tasks
  • Be a proactive self-starter. This position regularly works from home, and we don't believe in micro-managing.  

Requirements

  • Proven aptitude and skills related to the above responsibilities
  • Bonus points for work experience as an executive assistant or senior executive assistant
  • Located near or in Los Angeles, CA and willing to work from home and at our various places of business
  • Excellent MS Office knowledge and English proficiency
  • Particular aptitude with Excel/Google Sheets is very helpful
  • More bonus points if you have familiarity with Instagram, Notion, and/or Google Suite
  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills (Seriously—this is imperative. You will be tested on this. 💙)
  • Discretion and confidentiality with high-profile clients
  • High School degree
  • PA diploma or certification would be considered a plus

Note that you will work from home about 50% of the time, so easy access to a reliable computer, transportation, phone, and internet is a must. Apple is a partner, so we're a very mac-friendly company, though we accept PC-people too.
 
The other 50% of the time is mobile errand work, or working from the CEO’s home in Pasadena alongside additional staff, so reliable transportation is key.
