About the Role:
As a Presence Website Coordinator, you will play a key role in delivering award-winning websites that help our clients grow their businesses online. Through thoughtful coordination, you will ensure every website we launch is not only visually aligned with the brand, but also built to drive engagement, boost conversions, and deliver a seamless customer experience. This is not an entry-level role and requires proven expertise in managing WordPress and Elementor-based sites, with a strong grasp of SEO, UX, and performance standards.
Key Responsibilities:
- Serve as the primary liaison between the client and internal teams across each website phase, ensuring alignment and momentum throughout the project.
- Create and manage production timelines; proactively manage delays, dependencies, and blockers to keep the project on schedule.
- Facilitate kickoff calls and lead client discovery sessions to gather business goals, technical needs, brand guidelines, and user objectives.
- Translate client requirements into cross-functional project documentation (briefs, sitemaps, content outlines, technical specs).
- Ensure SEO best practices are embedded from the start. Oversee page-level optimization including copy tone, internal linking, heading hierarchy, and keyword integration.
- Coordinate with SEO stakeholders to validate Core Web Vitals, schema readiness, and technical SEO setup prior to launch.
- Lead the internal launch readiness checklist: QA, SEO verification, content accuracy, link testing, and mobile optimization.
- Review and QA website deliverables to ensure brand fidelity and UX best practices are upheld across all pages.
- Strong skills in managing change requests, content versioning, and enforcing phase boundaries to maintain project scope and quality.
- You will be able to identify weak or off-brand copy during the design phase, providing feedback or coordinating rewrites to meet engagement and conversion standards.
- Coordinate DNS updates, indexing enablement, and Google Search Console submission.
- Deliver structured training and CMS documentation to clients during handoff.
- Act as the main conduit between client and internal teams, ensuring every design choice and interaction aligns with the brand’s story, delights the end user, and supports clear, intuitive journeys.
- Build and maintain detailed production schedules, proactively surfacing risks or dependencies so the project stays on track and commitments are met.
- Run kickoff and discovery sessions that uncover business goals, technical requirements, brand nuances, and user needs—adapting in real time to evolving insights.
- Translate discoveries into concise, brand‑focused artifacts (creative briefs, sitemaps, content outlines, technical specs) that guide each phase toward an exceptional outcome.
- Advocate on behalf of the customer to ensure user flows that clearly articulate the problem the business solves, simplify navigation, and surface prominent calls-to-action to drive lead generation and conversion.
- Collaborate with SEO experts to embed best practices—keyword strategy, heading hierarchy, internal linking, schema markup, Core Web Vitals—so performance and findability are seamless.
- Lead a rigorous launch checklist—QA, performance testing, mobile optimization, content accuracy, link checks—to ensure a smooth, polished go‑live.
- Review designs and builds to spot any off‑brand, low‑impact, or conversion-blocking elements; provide focused feedback or coordinate rewrites that boost engagement and lead capture.
- Handle content versioning, change requests, and shifting priorities with transparency and flexibility—keeping project boundaries clear while accommodating what matters most.
- Coordinate DNS updates, search‑engine indexing, and Google Search Console submissions so the site transition is effortless.
- Deliver hands‑on CMS training and clear documentation that equip clients to own their site confidently from day one.
Required Experience:
- 3+ years of proven experience managing end-to-end website builds in a digital agency, SaaS, or fast-paced production environment.
- Familiarity with conversion-driven design principles and optimizing user journeys for lead capture and client engagement.
- Experience translating client discovery intakes into project documentation
- Strong understanding of SEO best practices, including Core Web Vitals, content structure, schema, and on-page optimization strategy.
- Ability to own project timelines, manage dependencies, and hold phase boundaries under pressure.
- Comfortable managing projects using tools like Jira, Figma, MS365, Slack/Teams, and Google Workspace.
Nice to Haves:
- Working knowledge of WordPress + Elementor, including ability to build basic pages, apply global styles, and configure responsive behavior.
- Experience creating CMS training resources, Loom walkthroughs, or structured handoff kits.
- Health/wellness industry experience (e.g., fitness studios, healthcare, coaching).
